4. Package Information

All package details, prices, inclusions, exclusions, hotel details, transfer details, and sightseeing details are subject to availability and may change without prior notice until the booking is confirmed.

The exact inclusions and exclusions of each package will be as stated on the relevant tour package page, itinerary, quotation, or invoice.

5. Package Customization

All packages can be customized according to guest preferences, except fixed departure packages.

6. Booking Confirmation

A package will be considered confirmed only after the required advance payment has been received by us.

7. Written Communication

Guests are requested to keep all important discussions in written form through email, WhatsApp, or other written channels. Verbal communication will not be considered valid for disputes, changes, confirmations, or claims.

8. Pricing

Package prices are based on current rates and are subject to change due to:

9. Hotel Check-In and Check-Out

Standard hotel check-in time is 12:00 noon and standard check-out time is 12:00 noon, unless otherwise specified by the hotel. Early room allotment may be possible, but it is always subject to availability.

10. Child Policy

Children below 5 years of age will be treated as complimentary unless otherwise specified. Complimentary status generally does not include a separate bed, seat, or meal unless clearly mentioned.

11. DND Packages

For DND (Date Not Decided) packages, travel dates must be finalized within 3 months from the invoice issue date. If dates are not finalized within this period, package pricing, availability, and services may be subject to revision.

12. Complimentary Upgrades

To enhance the travel experience, Dhauladhar Rangers may provide complimentary upgrades in hotel, room category, or vehicle type. Such upgrades are optional and may be communicated before or during the trip. Complimentary upgrades do not create any obligation for similar upgrades in future bookings.

13. Fixed Departure Packages

Fixed departure packages are not customizable. Guests joining such packages must follow the published itinerary, timing, boarding point, and drop arrangements.

14. Transportation and Transfers

Transport services will be provided as per the selected package and itinerary. Delays caused by traffic, weather, road conditions, breakdowns, political disruptions, strikes, or government restrictions shall not be treated as a breach on our part.

15. Changes to Itinerary

We reserve the right to make reasonable changes to hotels, sightseeing sequence, transportation, route, or itinerary if required due to:

• Technical issues

20. Governing Law and Jurisdiction

These Terms shall be governed by the laws of India. Any dispute shall be subject to the exclusive jurisdiction of the courts at Dharamshala, Himachal Pradesh.

3) Cancellation & Refund Policy

Cancellation & Refund Policy

At Dhauladhar Rangers, we understand that travel plans may change. This policy explains how cancellations, changes, and refunds are handled.

1. Booking Confirmation

A booking is treated as confirmed only after the required advance payment has been received.

2. Cancellation by Guest

If a guest wishes to cancel a confirmed booking, the cancellation request must be sent in writing by email or WhatsApp from the same contact details used during booking.

Cancellation charges may apply as follows, unless a package specifically states otherwise:

• 30 days or more before travel: 10% of total package cost
• 15 to 29 days before travel: 25% of total package cost
• 7 to 14 days before travel: 50% of total package cost
• 3 to 6 days before travel: 75% of total package cost
• 0 to 2 days before travel, no-show, or trip already started: 100% of total package cost

3. Non-Refundable Components

The following may be non-refundable or partially refundable, depending on the supplier:

• Advance / registration amount
• Fixed departure package amount
• Hotel booking retention charges
• Transport retention charges
• Special seasonal bookings
• Permits, entry tickets, or third-party services already booked

4. Refund Processing

Any eligible refund will be processed after deducting applicable cancellation charges, bank charges, payment gateway charges if any, and actual supplier deductions. Refunds, where applicable, will generally be processed within a reasonable period after final cancellation confirmation.

5. Cancellation by Company

If we cancel a booking before departure due to non-availability, operational reasons, or unavoidable circumstances, we may offer:

• An alternative package or date, or
• A refund limited to the amount received by us after deducting non-recoverable supplier charges, if any

6. Force Majeure

No refund or only partial refund may be possible in cases involving:

• Natural disasters
• Landslides
• Floods
• Snowfall
• Political unrest
• Strikes
• Curfews
• Pandemic restrictions
• Government orders
• Road closures
• Technical breakdowns affecting services
• Any other event beyond our reasonable control

In such cases, refunds depend on actual recoveries from hotels, transporters, and other suppliers.

7. Rescheduling / Date Change

Rescheduling requests are subject to availability and must be made in writing.

General rescheduling terms:

• Date change requests made 15 days or more before travel may be accommodated subject to availability and revised pricing
• Date change requests made less than 15 days before travel may attract rescheduling charges and supplier retention charges
• Rescheduling is not guaranteed
• Fixed departure packages may not be eligible for rescheduling
• If revised travel dates fall in a higher season or involve supplier price changes, the price difference must be paid by the guest

8. DND Packages

For DND packages, travel dates must be finalized within 3 months from the invoice issue date. After that period, pricing, availability, and package terms may be revised.

9. No-Show

Failure to arrive on time, failure to join the trip, or failure to use booked services will be treated as a no-show and may attract 100% cancellation charges.

10. Communication Rule

Only written cancellation, refund, or rescheduling communication will be treated as valid. Verbal discussions will not be accepted for record or dispute purposes.
